Anytime Pediatrics Virtual Front Desk Workflows

Workflow #1: Video Check In & Post Visit Routing

An Anytime Pediatrics primary care practice uses front desk mode to involve front office staff in the telemedicine process before and after the virtual visit to make life easy for the clinician. 

  1. Patient calls office to schedule an appointment.
  2. Front desk schedules telehealth appointment in EMR.
  3. Patient logs in to Anytime Pediatrics at the scheduled time and starts the visit.
  4. Front desk staff performs the virtual check in, verifies the patient’s insurance information and assists patients in checking their video/audio quality.
  5. Front desk staff routes the visit to the provider.
  6. Provider completes the virtual visit.
  7. Provider routes the patient back to the front desk staff.
  8. Front desk staff checks out the patient and schedules a follow up appointment, if needed.
  9. Front desk staff ends the virtual visit.
  10. Front desk staff copies visit details into EMR.

Workflow #2: Scheduled Visit Virtual Check In

Southwest Children’s Clinic creates efficiency in their practice by utilizing medical assistants to check in patients prior to the clinician joining the visit.

  1. Patient calls office to schedule an appointment.
  2. Front desk staff schedules telehealth appointment in EMR.
  3. Patient logs in to join the visit.
  4. Front desk routes visit to the MA.
  5. MA completes virtual check in with patient by helping test the patient’s video/audio quality and triaging.
  6. Provider completes the virtual visit.
  7. Provider ends the virtual visit.

Workflow #3: On Demand Virtual Check In

Valley Pediatric Group avoids double scheduling in their EHR and Anytime Pediatrics by allowing patients to virtually walk-in to their waiting room at the scheduled appointment time. They use front office staff to monitor the waiting room, perform virtual check ins and then route to the appropriate provider.

  1. Patient calls office for appointment.

  3. Practice sets on-demand hours during practice business hours.
  4. Patient walks-in to virtual waiting room by logging in to Anytime Pediatrics and clicks request visit for their child.
  5. Practice staff conducts virtual check in or triage via chat.
  6. Practice staff routes to the clinician.
  7. Clinician performs virtual visit.
  8. Clinician ends virtual visit.

Workflow #4: On Demand Visit Triage

An Anytime Pediatrics Urgent Care uses on-demand visits so nurses can triage a patient before recommending a virtual visit with a clinician or scheduling an in-office visit. 

  1. Practice sets on-demand hours during practice business hours.
  2. One member of the practice staff monitors the waiting room for incoming patients.
  3. Patient walks-in to the virtual waiting room by logging in to Anytime Pediatrics and clicks request visit for their child.
  4. Assigned practice staff begins virtual check in – triages to determine if the patient should come into the office or move along in the telehealth process.
  5. Practice staff either completes the visit & makes an in-office appointment or routes to the clinician for telehealth visit.
